Administrative Support III
Your Opportunity:
This position is part of a dynamic and large multidisciplinary Mental Health and Addiction Intensive Outreach Team based in the regional resource center in Medicine Hat. Outreach programs support individuals with complex mental health and addiction issues. This position supports all of the Intensive Outreach and Diversion programs and will be providing integral administrative support services to clients and the team. The majority of time will be spent supporting staff and clients in the Community Treatment Order program. The successful candidate will maintain accurate data and spreadsheets, be able to assist with CTO form completion and ensure booking of client appointments to align with CTO legislation. This person will have the proven ability to coordinate schedules and maintain effective working relationships with internal and external stakeholders. Duties will also include monitoring the block calendar management process, monitoring and logging fax referrals, entering client referral information into electronic health record systems, creating and maintaining electronic client files, creating and distributing client disposition letters and monitoring the department e-mail inbox. Please note that the current schedule is Tuesday to Friday; however, this could change in the future depending on the needs of the program.

Completion of Grade 12 or equivalent.
Additional Required Qualifications:A minimum of two (2) years' experience within the last five (5) years providing administrative support within a community clinic setting. Experience working with different telecommunications such as MS Teams, Zoom, etc. Strong keyboard skills and proficient/accurate computer and data entry skills. Excellent interpersonal skills, communication skills, time management, organization skills, and ability to effectively liaison with various professionals required. Ability to take initiative to complete tasks, meet required deadlines and coordinate challenging priorities with minimal supervision. Ability to work in a sedentary, busy and fast-paced environment with frequent interruptions, shifting priorities and overlapping deadlines.
Preferred Qualifications:Certificate/diploma in an administrative support field. Previous experience working in a mental health and addiction area is preferred. Proficiency in using MS programs and excel spreadsheets preferred.
