Your Opportunity:

This Admin IV position is located at Foothills Medical Centre in the Special Services Building for the Department of Psychiatry for Medical Affairs. This position is responsible for ensuring the efficient and effective operation of the 5 respective physicians' office and will be involved in direct patient care matters and project activities for the assigned physicians. It supports the administrative activities related to clinic and leadership roles along with research and education and supports all of the academic activities of the faculty member. Listed duties but not limited to: Overhead payments, Scheduling and input of ROCA. Service requests e.g. typing, obtaining articles via online database for research. Financial payments and processing (Alberta Health and U of C). Specialist Link contact. Pager requests. Coordination of retreats. Revise clinical service schedules. Communication to all stakeholders agenda, minutes, meeting documents. Doodle polls. Travel itineraries. Expenses, booking speakers. Assist with annual research reports. AROS/AIR CVs. Central room bookings, booking patients, follow up and documentation related to such, booking meeting rooms, Information Systems Technology. Troubleshoot physician computer issues and serves as back up to the master on call schedule for FMC.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Candidates must have the following skillsets: Highly organized, capable of multi-tasking and handling several high priority assignments efficiently in a fast paced environment. Positive, team focused attitude with the ability to produce quality results at all times. Must be able to maintain a professional attitude while exercising judgement, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. Two or more years of experience serving as an administrative assistant to administrative physicians. Advanced computer experience required, especially in MS Office. Detail oriented ability to solve problems as they occur. The incumbent will need to have access to and knowledge of U of C financial systems (U of C payroll, Peoplesoft, eFin and expensing systems). Must have Connect Care and operating knowledge of appointment booking, referrals and registration. Experience with meeting management including minutes and agendas.

Preferred Qualifications:

Prior experience with Education or Academics Programs in healthcare would be considered very beneficial.
