Recovery Alberta Medical Affairs is hiring a highly skilled Senior Administrative Assistant to support the Senior Medical Director, Psychiatry and Mental Healthcare. This role provides advanced administrative, operational, and coordination support in a fast‑paced environment requiring exceptional judgment, professionalism, and discretion. You will liaise with clinicians, managers, community partners, and provincial programs to ensure smooth and effective service delivery. Reporting to the Lead, Medical Affairs, you will serve as the key administrative support ensuring the seamless operation of the Senior Medical Director’s programs and helping drive impactful initiatives. This position’s location is based out of the Southern Alberta Forensic Psychiatric Centre and eligible for a remote/hybrid work arrangement within Alberta. Description:

As the Senior Administrative Assistant, you will provide senior-level administrative support to the portfolio including services in operations planning, position and people management, communications, issues management, and project coordination, to build the strength and effectiveness of the Psychiatry and Mental Healthcare program. Additionally, the Senior Administrative Assistant requires advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within the program. Working independently, this position is responsible for the provision of expert technical and operational support to facilitate service activities, strategic planning, and projects. This position plays a crucial role in ensuring the efficient operation of the program by handling a wide range of projects and tasks simultaneously. Key responsibilities include coordinating and supporting activities related to calendar management, managing communications, handling HR processes and tools, and preparing necessary background materials and documentation for initiatives and meetings. The role requires prompt and effective communication, responding to information requests and compiling and relaying confidential materials in a timely manner. Additional duties include managing day-to-day emails and inquiries, proactively handling document and file management, and providing support for project logistics, tracking, and reporting. This position is essential in supporting the Leadership of Recovery Alberta at the provincial level and plays a vital role in coordinating key provincial activities.

Required Qualifications:

Bachelor’s degree in a Business Administration, Communications, or a related field. Minimum of three years’ experience in a senior administrative role supporting executive or medical leaders. Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams) and working knowledge of SharePoint software. Working knowledge of HR and finance systems including familiarity with policies, financial practices, human resource activities and information systems. Minimum of five years’ experience working within a large and complex healthcare organization.


Additional Required Qualifications:

Experience using E-people, RMS, and Oracle. Experience supporting Medical Affairs and physician portfolios considered an asset.

A combination of education and experience may be considered.
